Policy Statement

Girl Scouts of Western Ohio. is committed to providing a safe and quality program for girls in the community as they participate in the program. The criminal background check will be another component of Girl Scouts of Western Ohio's volunteer placement procedure. The background check, conducted by Intellicorp Systems, includes criminal records searches of convictions, arrests, court records, inmate records, and sex offender registries.

Girl Scouts of Western Ohio has an expectation that volunteers who will be serving in the following volunteer positions will complete a background check:

  • Any volunteer who has or may have care, custody, and control of girls, such as all
    leaders and day camp staff

  • Any volunteer with financial responsibilities

  • All service team members

If you have already completed a background check from any of the 4 merged councils (Maumee Valley, Appleseed Ridge, Buckeye Trails, or Great Rivers), you do not need to re-do it.

Disqualification from Volunteer Participation:

The decision to exclude or limit an individual’s participation as a volunteer is solely with the discretion of Girl Scouts of Western Ohio. Factors to be considered include, but are not limited to, the nature and severity of the crime, and the length of time since the criminal conduct occurred.

Confidentiality:

The Council will maintain the confidentiality of all criminal background information, including information regarding disqualification decisions.

Background Check– Q & A

Why is Girl Scouts of Western Ohio doing background checks?

The safety of the girl is the most important consideration in the appointment of a volunteer. In order to safeguard the girls in our care, Girl Scouts of Western Ohio has joined with Girl Scouts of the USA to develop a system for conducting criminal background checks on volunteers and all paid staff.

What is required and how will the information be used?

Through the Intellicorp website, the applicant must enter their name, date of birth, and their social security number. Girl Scouts of Western Ohio does not receive this information. Intellicorp will use the information to report on the criminal history of the individual. This report is used to determine eligibility for a volunteer position with this organization. Your social security number on the criminal history records check shall be used for NO other purpose other than to make the process for conducting a background search more accurate.

What if Girl Scouts of Western Ohio receives criminal history results that indicate that I have a criminal record?

The decision to exclude or limit an individual’s participation as a volunteer or paid staff member is solely within the discretion of Girl Scouts of Western Ohio. Factors to be considered include, but are not limited to, the nature and severity of the crime, and the length of time since the criminal conduct occurred. Girl Scouts of Western Ohio shall review each applicant’s record on a case-by-case basis.

What information is included in the background check?

This background check includes criminal records searches of convictions, arrests, court records, inmate records, and sex offender registries. It does not include credit checks or motor vehicle checks.

What if Girl Scouts of Western Ohio receives criminal history results that I believe are incorrect?

According to the Fair Credit Reporting Act, you have the right to obtain a free copy of any consumer report from Intellicorp within 60 days of the day when any adverse action is taken against you based on the report. You also have 30 days to report and dispute the results you believe to incorrect or incomplete to Intellicorp, who is the reporting source. Girl Scouts of Western Ohio will rely upon the information contained in the criminal history report until a corrected report has been provided. Please contact the volunteer human resources manager in your region to receive the contact information for the Intellicorp representative who will assist you with this process.

Criminal Background Check Procedure

There are two ways to complete your background check:  online (best option) or by mail.  If you do not have a home computer, the web site can be accessed from any public library and the information will still be transmitted securely.  To maximize the security of your personal information, please ensure that you completely log off the library computer after completing the background check.  If you do not have access to a computer, please contact the volunteer human resources manager in your region to receive the proper forms to send your information directly to Intellicorp by mail or by fax.

  1. To complete your background check online:

  2. Complete the Criminal Background Check form. Password: d0t4pwn (Password must be entered exactly as you see it, it is case sensitive).  Please note that only those individuals applying for or already registered as a Girl Scout volunteer may complete this form.  Providing false information, including social security number and date of birth, may be considered justification for non-acceptance or dismissal from a volunteer position.

  3. Once you submit your authorization, you will then need to provide your name, social security number, and date of birth.  This information is submitted directly to Intellicorp via a secure website.

  4. The results of the background check will be sent to the volunteer human resources manager in your region.  Please note that all information received from Intellicorp will be handled in a confidential manner.

  5. You will receive notification about the results via mail.
